SimplePractice includes secure messaging through its Client Portal, available on Essential and Plus plans. Clinicians send a message, and the client receives an email notification to log into the portal and read it. Replies go back through the same portal.
This works for structured exchanges — intake instructions, document requests, appointment follow-ups where the client will eventually log in. It does not work for the brief, time-sensitive messages that mental health practice runs on — a between-session check-in, a reminder to practice a skill, a quick confirmation.
The Client Portal requires a login. Clients who do not check it regularly miss messages. Secure messaging is one-to-one only — there are no group threads. And it is not SMS. SimplePractice also does not offer a way to text from an existing practice number. Therapists who gave out a personal or Google Voice number years ago cannot port that number into SimplePractice for compliant messaging.
When the compliant channel requires a portal login and the message is a quick check-in, clinicians text from their personal phone. The client sees it immediately. The therapist sees it mixed in with personal messages. The practice has no record and no way to revoke access if the clinician leaves.
A texting tool that works alongside SimplePractice should deliver messages over SMS so clients see them on their phone. It should offer a dedicated work number so clinicians do not expose their personal number. And it needs a signed BAA independent of the EHR.
