A parent files a complaint about something a therapist said over text. The clinical director needs to review the conversation. But the messages are on the therapist's personal phone, in a GroupMe thread, or in a WhatsApp chat the practice has no access to.
The practice asks the therapist to produce screenshots. Maybe they do, maybe they do not. Maybe they produce a partial record. The practice has no way to verify completeness, no way to confirm the screenshots are unedited, and no independent record of its own. This is not an audit trail — it is reconstruction after the fact.
Some practices tell staff to keep communication in the practice-management system. The practice needs three things. First, a single system where parent communication happens — not personal phones, not consumer apps. Second, admin visibility into every conversation without depending on individual staff to share or forward. Third, the ability to export specific conversations when documentation is required.
Retention matters as much as access. Messages should stay with the practice permanently, survive staff turnover, and be exportable on request. A signed BAA ensures the platform itself is accountable for protecting the records.
