Staff place the exported file in the patient's record according to your organization's policy. Every conversation is retained, searchable, and exportable at any time. BloomText includes a signed BAA on every plan, including the free plan.
Open the patient conversation you need to export. From there it is three clicks: the three-dot menu at the top of the chat, then "Export this chat," then the export button. The file downloads to your computer immediately.
That is the entire process. There is no queue, no batch job, and no waiting for an email with an attachment. You place the downloaded file in the patient's record according to your organization's workflow.
Each export covers one conversation. If a patient has had multiple conversations over time, you export each one individually. This keeps the export scoped to exactly the exchange you need for that record.
The need is straightforward: your team texts a patient, that exchange becomes part of the care record, and you need a way to get it out of the messaging platform and into whatever system holds the patient's file. If the platform makes exporting difficult, every conversation that should be documented becomes a chore.
Mental health clinics add conversations to patient files. Compliance teams pull them for internal audits. Practices keep them for continuity of care when a patient transfers or a question comes up months later.
BloomText retains every message and makes your full history searchable inside the platform. You do not need to export a conversation to find or re-read it later.
Export is for when you need a copy outside of BloomText: a patient's chart, an audit folder, a file for a compliance officer. The conversation stays live and searchable after you export it — the export is a copy, not a move. For more on what makes BloomText HIPAA compliant, see the HIPAA compliant texting guide.
BloomText does not connect to or write into your EHR or records system. Your organization decides which conversations belong in a patient's file, who is responsible for exporting them, and where the exported file goes. BloomText gives you the export; your team handles the filing.
A typical workflow: a staff member finishes a patient conversation, exports it from BloomText, and uploads or files the downloaded document in the patient's record in your existing system. Some organizations do this after every clinical exchange. Others export periodically or when a specific event requires documentation.
Administrators control who has access to patient conversations in BloomText. When a staff member leaves, admins revoke access the same day, and the conversation history stays with the organization, not with the departing employee's device.
Every conversation in BloomText is retained on the organization's account and available for export at any time. That retention is backed by a signed Business Associate Agreement on every plan, including the free plan, encryption in transit and at rest, and role-based access controls.
That security matters because patient text conversations contain protected health information the moment they tie a name or number to care. Audit logs track who accesses each conversation. During live conversations, read receipts on secure messages show your team who has seen each message.
