Host a team video room

Manage a BloomText video meeting room: add hosts, let guests in, review past sessions, and rename or archive the room.

Who can do this: Room hosts · Web and desktop

A video meeting room is a lasting link your team can use again and again, for example for weekly telehealth sessions. Hosts run the room: they let guests in, can remove anyone from a meeting in progress, and can see the room's past sessions.

Before you start

  • Meetings shows in the left bar when your organization has video calls turned on.
  • You need to be a host of the room. Hosts are people or whole teams added to that room. Being an organization admin doesn't make you a host.

Add a host

  1. In the left bar, click Meetings to see your meeting rooms.
  2. Click the room you run, for example Speech therapy telehealth.
  3. Check the Hosts list. It shows the people and teams who host this room.
  4. Click Add hosts.
  5. Search for a coworker or team, then click Add. To leave without changes, click Cancel.

Let a guest in

When a guest opens the room link and asks to join, BloomText plays a sound and shows hosts Someone wants to join, with the guest's name.

  1. Check the name of the person asking to join.
  2. Click Allow to let them in, or Deny to turn them away.

To start or join the meeting yourself, open the room and click Go to meeting.

Review past sessions

  1. Open the room and click View history.
  2. Each row shows when a session Started, how many Participants joined, and the Session Time.
  3. Click Details on a row to see who joined and how long each person stayed.
  4. Click Close when you're done.

Rename or archive a room

  1. Open the room and click the more button next to View history.
  2. Click Rename meeting or Archive meeting, then confirm.

You can open an archived room later and choose Unarchive meeting.

Good to know

  • Add a team as host so anyone on that team can let guests in when you're away.
  • To remove a host, remove them from the Hosts list in the room.
  • To share the room, copy its Meeting Link and send it to your guest.
