Patients & Contacts

Add or import patients and contacts

Add a patient to your BloomText Directory one at a time, or bring in a whole list from a CSV file, so you text people by name.

Who can do this: Everyone · Web and desktop

Everyone your practice texts lives in the Directory. Add a patient once and their name shows up in your inbox and search, so you never have to text a bare phone number. Add people one at a time, or import a spreadsheet when you have many.

Before you start

  • Anyone in your organization can add patients. Importing a CSV into the Directory is for organization admins.
  • Adding patients needs SMS Messaging on your plan.
  • Each patient needs a mobile phone number or an email address. Add the phone number if you plan to text them.

Add one patient

  1. In the left bar, click Directory.
  2. Click the Patients tab.
  3. Click + at the top right. The Add a patient window opens.
  4. Type their First Name. Names are optional.
  5. Type their Last Name, so the chat is easy to find.
  6. Type the mobile number you'll text under Phone.
  7. Click Add.
  8. The patient is saved, and their details open in a panel beside the table, ready to text.
  9. Click × to close the panel. The patient is now a row in the table.
  10. To add many patients at once, admins click Import patients from CSV, the icon to the left of +.

Before you click Add, you can also fill in Email, Date of Birth, MRN and Tags if you have them.

Import many patients from a CSV file

Admins can bring a whole spreadsheet into the Directory with Import patients from CSV: choose the file, match its columns to patient fields, review the rows, add tags, then import. The full walkthrough is in Import patients from a CSV.

Add patients from a CSV in a campaign

A broadcast campaign has its own CSV upload. Rows that match nobody in your Directory are saved as new patients, so this also works when you're about to text the list.

  1. In the left bar, click Campaigns.
  2. Open the campaign to add people to, for example Back-to-school checkups.
  3. Click Add more at the top of the campaign page.
  4. Choose Add from CSV.
  5. Click the box to choose your .csv file, or drag it in.
  6. Click Continue.
  7. Check that each column is matched to a patient field, then click Next: review rows.
  8. Check what happens to each row, then click Add N recipients.
  9. The list fills in the background, with its progress above it. You can leave the page.
  10. When it finishes, the new recipients are in the list.

For column mapping and how rows are matched, see Add recipients to a broadcast.

Good to know

  • A CSV needs a header row and a Phone, Email or MRN column.
  • A row whose MRN, phone number or email already belongs to a patient uses that patient rather than adding a second one.
  • A row that matches nobody needs a phone number or an email to become a patient.
