Find, filter and archive conversations
Filter your inbox to unread, patient or staff chats, switch to one team's inbox, and archive or restore conversations to keep your list tidy.
Who can do this: Everyone · Web and desktop
A busy inbox is easier to work when you can see what's new, narrow it to one team, and move finished chats out of the way. Archived chats are kept, so you can bring any of them back.
Before you start
- You see chats from the teams you belong to and the chats you are in.
Spot new chats
Open the Inbox. The newest chats are at the top, and chats you haven't opened yet show in bold, with a dot. If you started typing in a chat and didn't send it, the row shows your Draft:.
Filter your Inbox
- Look at the chips above the chat list: All, Unread, Patients and Staff. Each one filters your Inbox.
- Click Unread.
- The list narrows to your unread chats. Each one is in bold, with a dot.
- Click a chat to open it, for example David Chen.
- The row turns read: no bold, no dot. It stays in the list while the chat is open.
- Click All to see every chat again.
Show one team's chats
- Click the title at the top of the chat list. It reads My Inbox.
- Under Jump to..., click a team, for example Front Desk. The title changes to the team's name, and the list shows only that team's chats.
- To see everything again, click the title and choose My Inbox.
Choose which team inboxes you see
- Click Inbox settings next to the title. Manage My Inbox opens.
- Under Show chats from..., switch teams on or off.
Your list updates to match. This only changes your own view.
Archive and restore a chat
- In the Inbox, point at a chat you are done with.
- Click Archive at the right edge of the row. This archives the chat just for you.
- The chat leaves your active list. Nothing is deleted.
- To find it again, click Archived, the box icon beside Search at the top of the chat list.
- Your archived chats show here, under Archived chats.
- Point at the chat and click Unarchive on the row.
- Click Back to active, or the Archived button again, to go back to your active list.
- The chat is back in your list.
A new message in an archived chat also brings it back by itself.
Good to know
- Archive on a row archives the chat for you. To archive a team chat for the whole team, open the chat, click More settings (the three dots) in the chat header, choose Archive for..., tick the team, and click Save. Clear the team's box and save to restore it for the team.
- To find an older chat by name or by what was said, use Search.
