Run every location from the Account page
Owners and IT manage all of a practice's organizations in one place, under Settings → Account. See who is where, set account-wide sign-in and privacy settings, and find the plan and API keys.
Who can do this: Organization admins · Web and desktop
Your account is your practice's BloomText subscription. Every organization on it, such as each clinic location, shares one plan. On the Account page, Owners and IT see every organization in one place: who works where, the sign-in and privacy settings, the plan and the API keys.
Before you start
- BloomText turns the Account page on for each account. Until then your organizations work as before, and nothing on this page applies. To turn it on, contact BloomText.
- You need to be an Owner or IT. Nobody else sees Account in Settings.
- The Account page is on the web app and the desktop app.
Roles
Each person has an organization role in each organization they're in. Owners and IT also have an account role:
- Owner. Everything IT can do, plus cancelling the plan and making other Owners.
- IT. Every organization's people and settings, adding organizations, the plan, and the account's API keys. IT can make other people IT, but not Owner.
- Admin. Runs one organization: its members, teams, phone numbers and details. An Admin in one organization doesn't manage the others.
- User. Works in one organization, on the teams they're placed on.
When BloomText turns the Account page on, the admins of your default organization (the one your plan started with) become Owners. If your account has only one organization, that's every admin. Admins of your other organizations stay Admins.
Owners and IT are members of every organization on the account. They show in each organization's Members tab with an Owner or IT badge and 🔒 Set on the Account page, and they aren't on any team. They see each organization's patient list, but no patient conversations until they join a team. To join one, add yourself to it from that organization's teams (Manage teams).
Find the Account page
- Click Settings, the gear at the bottom of the left bar.
- Click Account.
The page has these tabs:
- Overview: every organization on the account, with how many members each has.
- People: everyone on the account, listed once.
- Settings: sign-in and patient privacy settings for every organization.
- Plan: the account's subscription, seats and billing.
- API keys: the keys your own systems use to reach BloomText.
- Reports: every text the organizations sent to patients and whether it arrived, once BloomText turns Reports on. See Message reports.
An account with one organization opens on Plan and shows Plan, People, Settings and API keys. Overview appears once you add a second organization.
Add an organization
- Open the Add organization window:
- With one organization, on the Plan tab, click Add organization next to "Overview appears when a second organization is added."
- With several organizations, on the Overview tab, click Add organization.
- Type the new organization's name in Organization name.
- Click Add organization. The organization joins the account's plan, and every Owner and IT person is already a member.
To rename an organization, open it from Settings → Organizations and change its name on the Details tab. See Edit your organization details.
See everyone on the People tab
People lists each person once, however many organizations they're in. Each row shows:
- the organizations they're in, as pills;
- their role: Owner, IT, Admin or User;
- Managed by: Manual when people manage them in BloomText, API when an API key added them, or Account for Owners and IT;
- when they were last active.
Search by name or email, sort by name or role, and filter by organization or by Managed by. Click a row to open the person's card, which lists their account role and each organization they're in.
To add someone, or to remove them from one organization, use that organization's Members tab. See Change a member's role or title, or remove them. To take someone out of every organization at once, see Remove someone from the account.
Make someone Owner or IT
- On the People tab, click the person's row.
- On their card, click Change account role.
- Choose IT or Owner. Only an Owner can choose Owner, or change an Owner's role.
- Click Make IT or Make Owner.
They become a member of every organization on the account right away. To take the role away, open the same window, choose None and click Remove role.
Owners and IT can also do this from an organization's Members tab: click Manage on the person's row and turn on Owner or IT. The window warns: "By adding this person as IT or Owner, they get access to all of the organizations on your account."
Remove someone from the account
Owners and IT can take a person out of every organization on the account at once.
- On the People tab, click Remove on the person's row, or open their card and click Remove from account.
- The window lists the organizations they leave. Click Remove from account.
They lose access to those organizations' chats and patient conversations straight away. For someone in more than about a thousand conversations, the rest close within a few minutes.
If those are their only organizations and your account created their BloomText user, the window says it deletes the user: they can't sign in again, and this can't be undone. Click Remove and delete user to go ahead.
Some people can't be removed this way, and the app says why:
- Owners and IT. Remove their account role first.
- People an API key manages. Remove them with that key.
- A membership set on the Account page. It belongs to an Owner or IT role that was just removed; try again in a moment.
Set account-wide settings
When BloomText turns on the Account page for your account, it creates the account's SMS verification, quick-login PIN and patient privacy settings from the strictest settings your organizations used: if any organization required SMS verification or hid patient numbers, the account does too. They apply to every organization straight away.
To change them:
- Open the Settings tab.
- Change any setting:
- Require SMS verification at login: everyone on the account enters a texted code when they sign in.
- Allow quick-login PIN: people on shared computers can sign in with a PIN. Turn it off to require a password every time.
- Don't allow users to see patient phone numbers: users who aren't admins, Owners or IT see patient numbers masked, in every organization.
- Click Save. A bar says Account settings saved.
These three settings apply to every organization. Each organization's Details tab says Set on the account instead of showing them. Everything else stays with each organization: its name, address and contact details, translation, the SMS "Reply STOP" line, teams and phone numbers.
Plan and API keys
- Plan shows the account's subscription. Each person counts as one seat, however many organizations they're in, Owners and IT included. See Billing.
- API keys lists the account's API keys. A key can reach every organization or only the ones you pick. To create or limit a key, see API keys.
Good to know
- Members an API key added show 🔒 Managed by API and the key's name. Only API keys change them.
- Owner and IT memberships have no Manage or Remove in an organization. Change them on the Account page.
- To delete an organization, contact BloomText support. Deleting one also deletes its patient records.
