Offboard a departing employee

Keep the records you need, remove a departing employee's access, and make sure every family they were texting still gets an answer.

Who can do this: Organization admins · Web and desktop

When someone leaves your practice, do three things in this order: keep the records, take away their access, and hand their open conversations to a teammate.

Before you start

Export the membership history

  1. Click Settings, the gear at the bottom of the left bar.
  2. Click Organizations, then your practice. Admins land on the Members tab.
  3. Type the person's name in Search for members to find their row.
  4. Click the download icon at the right end of the toolbar.
  5. Click Export. A CSV of everyone who has been in the practice downloads for your records.

Remove their access

  1. Click Remove on the person's row.
  2. The window names the person and your practice. Click Remove to confirm.

They lose access right away.

Export the messages on their team's number

  1. In the left bar, click Directory.
  2. Click the Teams tab.
  3. Click the team whose number they used, for example Front Desk.
  4. Click Export SMS logs.
  5. Pick the From and To dates. The From date can be up to 180 days back.
  6. Click Export. The file downloads when it's ready.

To keep a single conversation for a patient's record, export that chat. See Export messages and records.

Pass their chats to a teammate

  1. Check the team's members, and ask a teammate to take over the departing person's open chats.
  2. Add that teammate to any chat that still needs a reply. See Hand a conversation to a teammate.

The team's number stays with the team, so families keep texting the same number.

Good to know

  • Export before you remove, so the records are ready while the details are fresh.
  • To move a number to another team, or release one you no longer need, email support@bloomtext.com.
  • Removing a member lowers the number of Team Chat seats on your next bill.
