Export messages and records

Export one chat for a patient's record, every message on a phone number for a date range, or your organization's membership history.

Who can do this: Everyone · Web and desktop

When you need a copy of what was said, for a patient's chart, a records request or a compliance review, you can export it from BloomText. Choose the export that fits the request:

  • One chat, as a PDF transcript with its files. Anyone in the chat can do this.
  • Every message on a phone number for a date range. Organization admins only.
  • Your organization's membership history, as a CSV. Organization admins only.

Export one chat

  1. In your chat list, open the chat you need.
  2. Click the ... menu at the top right of the chat.
  3. Click Export this chat.
  4. Under Date range, choose All time for the whole chat, or Custom range to set From and To dates.
  5. Leave Include files shared by participants in the export on to add the photos and documents the family sent.
  6. Click Export chat. BloomText builds the file in the background.
  7. When it's ready, your browser downloads a ZIP file with the chat as a PDF. File the PDF in the patient's record.

  2. Click the Teams tab.
  3. Click the team that owns the number, for example Front Desk.

  6. Click Export.
  7. A bar confirms Export has been requested.
  8. When the file is ready, the download starts. Save it with your compliance records.

To keep a longer history, export regularly, for example once a quarter, and keep each file with your records.

Export your membership history

The membership history lists everyone who has been in your organization: when they were invited, approved and removed, and by whom.

  1. Click Settings, the gear at the bottom of the left bar.
  2. Click Organizations.
  3. Click your practice. Admins land on the Members tab.
  4. Find the download icon next to Add members, at the right end of the toolbar.
  5. Click it.
  6. The Export members window asks to request a CSV file with the complete membership history of your organization.
  7. Click Export. The CSV file downloads in your browser. Close cancels instead.
  8. Give the file to whoever asked for it, such as an auditor.

Membership history export is part of the paid plans.

Good to know

  • Exports contain patient information. Save them only where your practice keeps protected records, and delete copies from your Downloads folder when you're done.
